Internal Rejection Note Entry

This option maintains Internal Rejections from Shop Floor against ongoing Work Orders. Child items issued to the shop floor to make the parent item of selected Work Order are displayed to enter Rejected Quantity along with Reason for rejection.

 

IMMS keeps track of the maximum quantity that can be rejected for a Child Item by cross checking it with its issued quantity. Moreover it also allows to raise multiple Rejection Notes against a Child Item belonging to a Work Order until all the issued quantity has been rejected.

 

Once the rejection quantity is entered, it is compulsory to authorize it to make it effective. Subsequent rejection data can be entered for the same Item and Warehouse combination only when the previous data is authorized. Moreover, after authorization it is NOT possible to modify or delete that Rejection Document. This facility prevents it being altered by any unauthorized staff.

 

A list of already existing Internal Rejection Notes will be displayed as follows -

 

 

Search:

Enter any text you want to search in the list below. The search is applicable to all columns of the list. Once the text is entered, press <ENTER> key. As a result, the list will be refreshed with all those records that contain the entered text fully or partially. In order to go back to the original list, remove the text from the box and press <ENTER> key again.

 

Filter By:

IMMS provides the facility to filter the records on the basis of their status. Click on the field and select either 'All', 'Authorized' or 'Pending for Authorization'. Selecting 'All' will display all records, authorized as well as unauthorized. Selecting 'Authorized' will display only authorized records. Selecting 'Pending for Authorization' will display only those records that are yet to be authorized.

 

Internal Rejections and their data become effective only when it is authorized through this option and subsequent rejection data is allowed to be entered for the same Item and Warehouse combination. Moreover, after authorization it is not possible to modify or delete that Internal Rejection Note. This facility prevents it being altered by any unauthorized staff.

 

To authorize a particular Internal Rejection, select the corresponding record by clicking on the small white check box. You can de-select the record by clicking on the same box again. You can select multiple records in the same way. Once done, click on the button to finally authorize the selected records.

 

Internal Rejection Notes can be added, edited, deleted and viewed provided the Role associated with the currently logged-in user through User Management has the respective rights to do so.

To 'Add' an Internal Rejection Note, click on the button and to 'Edit', click on the icon on its corresponding record. Click on the icon to delete a particular Internal Rejection Note. To view details of a particular Internal Rejection Note, <DoubleClick> on that record. As a result, following screen will be displayed -

Rejection Details

Rejection Year:

Denotes the financial year of the Internal Rejection Note.

 

While 'Adding', current financial year is displayed by default. You can not change it.

 

In case of 'View', and 'Edit', financial year of the selected record will be displayed automatically. It can not be changed.

Rejection Group:

Specify the Group of the Internal Rejection Note.

 

While 'Adding', please note that the Group which has been specified as default for the current financial year through Document Control Master option in Administrator Toolswill be displayed automatically.

You can change it by clicking on the field to access a list of already defined Internal Rejection Groups for the current Year though Document Control Master option in Administrator Tools Module. Select your desired Group from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Group.

In case of 'View', and 'Edit', Rejection Group of the selected record will be displayed automatically. It can not be changed.

 

Rejection Site:

Specify the Site of the Internal Rejection Note.

 

While 'Adding', the Site if any specified with the selected Group will be displayed automatically.

Click on the field to access a list of already defined Sites. Select your desired Site from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Site.

Please note that the Site(s) will be displaced/accepted as per the following conditions -

  • In case the 'Site Required?' flag is 'On' through Document Control Master option in Administrator Tools Module, then only those Sites will be displayed which have been linked with the selected Year and Internal Rejection Group.
  • In case the 'Site Required' flag is 'Off', then all the Sites that have been defined for the current Company through Site Master option of Administrator Tools Module will be displayed

In case of 'View', and 'Edit', Rejection Site of the selected record will be displayed automatically. It can not be changed.

 

Rejection Number:

(Type : Alphanumeric, Length : 6)

 

While 'Adding' a new Internal Rejection Note, Internal Rejection Number is either generated automatically or entered manually by the user.

Generation of Internal Rejection Note Number is a flag driven option and depends upon the setting of flag 'Auto Number Generate Required' through Document Control Master option in Administrator Tools Module. CollapsedClick here to read more about the flag...

In case of 'View', and 'Edit', Rejection Number of the selected record will be displayed automatically. It can not be changed.

Rejection Date:

While 'Adding', enter the Date of the Internal Rejection. Today's date is displayed by default. You can change it but it should be between the 1st and the last date of the Current Period End Date. Press <TAB>.

In case of 'View', and 'Edit', Rejection Date will be displayed automatically as per the selected Internal Rejection Number. You can change it in 'Edit' mode.

Click on button to continue.

Work Order Details

Specifies the Work Order details for which rejections have been entered.

 

In case of 'View', and 'Edit', Work Order details will be displayed automatically as per the selected Internal Rejection Number.

 

While 'Adding', enter the details as explained below -

Work Order Year:

Click on the field to access a list of financial years for which Work Orders already exist. By default, current financial year will be displayed. Select your desired Year from the list by clicking on it. Alternatively you can also enter the Year.

Work Order Group:

Specify the Group of the Work Order.

Click on the field to access a list of already defined Work Order Groups for the current Year though Document Control Master option in Administrator Tools Module. Select your desired Group from the list by clicking on it. Alternatively you can also enter the Group.

Work Order Site:

Specify the Site of the Work Order. By default the Site if any specified with the selected Group will be displayed automatically.

Click on the field to access a list of already defined Sites. Select your desired Site from the list by clicking on it. Alternatively you can also enter the Site.

Work Order Number:

Enter the Work Order Number for which you want to enter Rejection quantities.

Click on the field to access a list of already defined Work Order Numbers though Work Order Maintenance option in Planning Module. Select your desired WO Number from the list by clicking on it. Alternatively you can also enter the WO Number.

Only those Work Orders will be displayed/accepted -

  • that have been released.
  • that have some quantity of Child Item (s) pending for rejections.

Work Order Item Code:

Automatically displays the Parent Item Code of the selected Work Order Number for your reference.

 

Work Order Item Name:

Automatically displays Name of the Parent Item of the selected Work Order Number for your reference.

A list of all Sales Job Orders belonging to the selected Work Order Number along with their Child Item details is displayed in a grid as follows -

 

 

While 'Adding' and 'Editing', the grid is populated and displayed with all the Child Items of the selected Work Order that have some Issued Quantity pending to be rejected.

 

In 'View' mode, the grid is populated and displayed with only those Child Items of the selected Work Order for which some rejected quantity has been entered. You can not make any changes.

 

Certain fields in the grid are for your reference purpose. Please enter data in the following fields -

 

Field Description of the grid -

Maximum Rejection Qty:

Displays the maximum quantity of the Item that can be rejected. For the first time by default, this quantity is same as the quantity of Child Item issued through Work Order. Thereafter, subsequent rejection quantities of the Item are deducted from this field and displayed. Similarly if the rejection note is deleted through 'Delete' mode or rejection quantity is changed through 'Edit' mode, the rejected quantity will be added in this field.

 

Rejection Qty:

(Type : Numeric, Length : 9.4)

 

Click on the field. Now enter the quantity of Child Item that has been rejected. Press <TAB>.

Reason Code:

Enter Reason related to rejection. This field will be enabled only in case some rejection quantity has been entered.

 

Click on the field to access a list of already defined Reasons though Codes Master - Entry (Code Type = 'RJ') option in Administrator Tools Module. Select your desired Reason from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Reason Code.

 

Rejection Remark:

(Type : Alphanumeric, Length : 250)

 

Click on the field. Now enter Remarks, if any, related to the Rejection of the Child Item. Press <TAB>.

Once you have entered all the information related to the Internal Rejection, click on 'Save' button to save it  or 'Cancel' button to discard. The control will go back to the list.
